We accept Blue Cross/Blue Shield, Aetna (including SHP), UnitedHealthcare, and Cigna. All insurances with the exception of Cigna will be billed through the platform we use called TherapyNotes. Cigna will be billed through a separate HIPAA-compliant platform, Headway. If you are insured through Cigna, this will require a separate login
Headway in addition to your login for TherapyNotes, which will still be used for telehealth. Please contact your clinician, Meghan Johnston, meghan@willowpathnc.com for any billing questions regarding insurance.
Before your first appointment we’ll verify your benefits as a courtesy, but you are ultimately responsible for knowing your policy details, including copays and deductibles. Please call the number on the back of your insurance card to learn what mental health services your plan covers.
A few important notes:
Verification before your first visit is not a guarantee of payment. Your insurer may not finalize coverage until they process the first claim. While we may be given an estimate of your copay or deductible prior to your first session, the first claim to come back will verify the exact amount of the copay or deductible owed, if any.
You are responsible for any charges your insurance does not pay (for example: denied claims, unmet deductibles, or services not covered). All charges that your insurance does not pay you are responsible to pay the balance prior to your following appointment.
Copays, coinsurance, and deductibles can change when your benefits reset each year. For you to be informed, keep in mind to watch your plan’s renewal dates.
If your insurer is out-of-network with us, you may still be able to get reimbursed. We can provide a superbill (a detailed receipt) after each session if you need it. Superbills require a diagnosis and procedure code from the clinician for it to be accepted. If you plan to use out-of-network benefits, contact your insurer before your first session to confirm coverage and reimbursement procedures.
Self-Pay Information
The self-pay rates are as follows:

Initial Intake/Meeting: $175.00
53-60 minute session: $150.00
45-53 minute session: $112.50
30-44 minute session: $75.00
Good Faith Estimate Notice- Self Pay Clients
Under the No Surprises Act of 2022, health care providers need to give patients who don’t have insurance or who are not using insurance a "Good Faith Estimate" (an estimate of the costs associated with expected services). You have the right to receive a Good Faith Estimate for the total expected cost of any non-emergency items or services. We are happy to provide a Good Faith Estimate in writing at least 1 business day before your session. Please reach out to request a Good Faith Estimate at any time before you schedule your session. If you receive a bill that is at least $400 more than your Good Faith Estimate, you have the right to dispute your bill. For questions or more information, visit www.cms.gov/nosurprises.
Cancellation & No-Show Policy
At Willow Path Counseling, PLLC, we value our clients and strive to provide the best possible care. In order to ensure that we can continue to offer timely appointments and respect the time of our clinicians, we have implemented the following policy regarding late cancellations and no-shows:
Late Cancellation Policy:
Since your appointment requires time reserved specifically for you and out of respect for your therapist, a minimum of 24 hours is required for reschedules or cancellations to avoid our $100 cancellation fee. This can be done via text (828) 547-9593, email (meghan@willowpathnc.com), or requesting another available appointment online for the same week through the portal, ( ). I, of course, know that sometimes there are emergencies or contagious illnesses that cannot be avoided so I do allow 1 grace for this every 6 months! Work, school, or traffic issues, sleeping in, and forgetting appointments do not constitute emergencies. This cancellation policy applies even if missing the appointment was unintentional.
No-Show Policy:
As above, your appointment requires time reserved and agreed upon by you and I, your therapist. Reminder emails and text messages are sent prior to sessions, and it is your responsibility to keep track of these appointments. Please reschedule or attend session within 15 minutes of the start time to avoid the $150 no-show fee. I typically attempt to call, text, or email within the first 15 minutes of your scheduled session. If you have not logged in by 15 minutes, the session will end, even if you are a few minutes behind. If I do not hear back from you by 5:00 PM that day, the late-cancellation or no-show fee will be charged.
If you respond after 5:00 PM and the fee has already been charged, we can schedule a make-up session and the fee will be refunded. Please note that refunds may take 2–5 business days to process.
1. Late Cancellations and No Shows
Late Cancellations: A cancellation is considered late if it occurs less than 24 hours prior to the scheduled appointment time.
No Shows: A no-show occurs when a client does not show up for a scheduled appointment without notifying us in advance.
2. Consequences of Cancellations and No Shows
After three (3) late cancellations or no-shows, a client will be discharged from services at Willow Path Counseling, PLLC with referral for other practices in the areas.
If a client cancels three (3) consecutive appointments without rescheduling, they will also be discharged from services. Reschedules are subject to clinician availability and are not guaranteed.
3. Exceptions to the Policy
In extenuating circumstances, clinicians reserve the right to make exceptions to this policy. These exceptions will be handled on a case-by-case basis and at the discretion of the clinician.
